Mass Interactions is a new feature released for eTapestry. We understand that users many have questions regarding this release. Included in this article are a list of the most frequently asked questions to help with this new feature.
Q: Were all journal contacts migrated to Mass Interactions? A: No, we migrated journal contacts created from Communications in your database. Additional Journal contacts created outside of Communications have also been migrated if 25 or more accounts shared the same contact, such as contacts created via Import or Mass Update. Also, if the contact was created through a DIY page, a custom eCommerce page, or in Benevon, it was not included on the Mass Interactions page and will remain as a contact.
Q: What happened to User Defined Field information on journal contacts that were migrated to Mass Interactions? A: User defined fields are not tracked on Mass Interaction entries, so on existing journal contacts that were migrated to the Mass Interactions page, user defined fields have been moved to the Notes field. If your organization uses queries that include journal contact user defined field criteria, you may need to update those queries. Q: Can I still import journal contacts? A: Yes, when you create a new Import template, you can select any of the Single Contact options from the Select the Type of Information to Import drop-down menu and a journal contact will be created for each record in your import file. If you would prefer to create a Mass Interaction, you can select any of the Single Mass Interaction options from the Select the Type of Informationto Import drop-down menu and a single Mass Interaction will be created and associated to every record in your import file.
Q: Why did we do this? A: To reduce clutter on the Journal page of your accounts. Based on feedback collected over the years, we wanted to move journal contacts used to track mass communications, like mass emails or document generation, out of the Journal page. This way users could more easily see transactions and one-off journal contacts listed in a constituent’s Journal. Fewer journal entries also has the added benefit of helping queries and reports run a little more efficiently! Reducing the number of items tracked on the Journal page may also make it easier for us to offer select summary fields (like Lifetime Received Total or Last Transaction Received Amount) within Query Preview in the future.
Q: What reporting options do I have for Mass Interactions? A: A Mass Interaction Fields category has been added to query preview and custom reports, so that you can include columns like First Mass Interaction or Last Mass Interaction. Q: Can I delete Mass Interactions? A: YES! If your organization has old or irrelevant Mass Interactions that you no longer want in your database, you can easily schedule to have them removed. For instructions on how to remove Mass Interactions, visit the Delete Mass Interactions through Mass Update section in Help.
