Note : Before you proceed with the following instructions, back up the database. If your organization integrates multiple Blackbaud products, refer to the Additional Requirements section of the backup article. Follow these steps to add or delete a particular Attribute from all records or from a selected query of records.

Note: To completely delete an Attribute from The Raiser's Edge, refer to How to completely delete an Attribute from the database

  1. In Administration, select Globally Change Records.
  2. Select the appropriate record type (e.g.Gift, Constituent, Individual Relationship) and click New Change.
  3. Click Include to select a query (recommended).
  4. From the Available Fields window in the left frame, double-click Attributes (without the plus sign) from the appropriate Attribute heading.
  • For example, Gift Attributes > Attributes. Note: Do not select the specific attribute name, such as Auction Item. It must be the Attributes category.  If you only want to delete attributes with a certain date, enter the Date in the Date field before entering any other information. (It is grayed out after selecting other information.)
  • If users are wanting to Globally Add a specific Attribute, we would select the 'Attributes' option as show below: 
  • Globally Add/Delete Attribute
  1. Select the appropriate operation:
    • Add to add the Attribute to records
    • Delete to delete the Attribute from records
  2. In the Category field, select the Attribute category to Add or Delete.
    • If adding the Attribute, be sure to fill out the Description field. Enter the Date and Comments as appropriate.
    • If deleting the Attribute, leave the Description field blank to remove the entire Attribute from every record in your query.
    • To only delete specific Descriptions, enter the appropriate description into the Description field.  
  3. Click OK.
  4. Click Change Now to process the Global Change.

Note: If the user does not have the option for Administration > Globally Change Records or to the Attributes, ensure the user has rights to add Attributes or have a user with rights globally add the Attributes.
 


 For example, to globally add or delete gift attributes:

  1. Create a static query of the gifts to change.
  2. In Administration, select Globally Change Records.
  3. Highlight Gift > Gift and click New Change. 
  4. Click Include > Selected Records and select the query created in Step 1.
  5. Select Gift Attributes > Attributes (not a specific Attribute name). 
  6. Change the operator to Add or Delete as appropriate, and select the appropriate values.
  7. Mark the Create control report, Create a query of exceptions, and/or Create a query of changed records checkboxes as needed.
  8. Click Change Now.

For example, to globally add or delete Individual Relationship Attributes:

  1. Create a static relationship query for the relationships to change.
  2. In Administration, select Global Change Records.
  3. Highlight Individual/Contact/Employee Relationship and click New Change.
  4. Click Include > Selected Individual, Contact, Employee Relationship and select the query created in step 1.
  5. Select Individual Relationships > Attributes (not a specific Attribute name).
  6. Change the operator to Add or Delete as appropriate, and select the appropriate values.
  7. Mark the Create control report, Create a query of exceptions, and/or Create a query of changed records checkboxes as needed.
  8. Click Change Now.

Globally changing every record in your database can be time consuming. To reduce the time it takes to complete this process, create a query of the records containing that Attribute and process the Global Change based on the query. Depending on the types of records you added the Attribute to, you may have to create a series of queries and process a separate global change for each query to ensure you remove the Attribute from every record in your database.
