Note : Before you proceed with the following instructions, back up the database. If your organization integrates multiple Blackbaud products, refer to the Additional Requirements section of the backup article. 

    Prior to importing, we suggest marking Validate Now on the General tab.: Validating the data will not import the information in the system. This is a test run of the import.

     

    1. Create a data file or use an existing file.
     

     

    • Required Fields to add new grading information
    • Course Import ID or Course ID
    • Academic Year
    • Session
    • If updating course grading information already on the records, use the Course Grading Import ID instead of the fields above.
     
    • Additional Fields that Could be Included Based on Preference:
    • Historical Course Name
    • Print Priority
    • GPA calculation
    • GPA Weight
    • Performance Category
     
    • Note: Repeat the following columns for each desired marking column:
    • Marking column
    • Graded (Yes or No Field)
    •  Award credits in
    • Attempted credits
    • Translation table
    • Grades Values allowed
    • Calculation

     

    • Grades Calculation
    1. In Administration > click Import.
    2. Click Grading Information (located below Courses) > Click New.
    3. Mark Import New (if the grading year does not exist already) or mark Update existing records.
    • Note. You can import new and update existing records at the same time. With Update existing record marked, mark import records not found as new records.
    1. Browse to the CSV file in the Import file field
    2. Select Course  ID or Course Import ID as the field to use to match records.

    1. Select the File Layout tab and select the Import File does not contain field names option ONLY if your import file does not have header. If your Import File contains the field names, mark Fields names are on the first line of the import file. Field Separators should  be se to Comma  Text Qualifiers is set to Quotation.
      • *Although headers are not required in The Education Edge, we recommend using them. Otherwise, you must manually map the fields in the data file to the corresponding fields in The Education Edge. The format of this import file?: Delimited Characters separate the fields

    1. Select the Fields tab and map the fields
      • Course Import ID: Mapped to Import ID which is located in the Course Section (if you chose Course Id on the General tab, we'd map to that on the Fields tab).
      • Grading Import ID: Mapped to Import ID which is located in the Grading Section
      • Print this course on report card: Mapped to Print this course on report card which is located in Grading Information Section
      • Print this course on transcript: Mapped to Print this course on the transcript
      • Credits Awarded in: Mapped to Credits awarded in which located in the Grading Information Section
      • Historical Course Name: Mapped to Historical Course name which is located in the Grading Information Section
      • Print Priority: Mapped to Print Priority name which is located in the Grading Information Section
      • Performance Category : Mapped to Performance Category  name which is located in the Performance Categories Section
      • Marking Column: Mapped to Marking Column which is located in the Grades Section
      • Graded: Mapped to graded which is located in the Grades Section
      • Awarded Credits In: Mapped to Award Credits In which is located in the Grades Section
      • Attempted Credits : Mapped to Attempted Credits which is located in the Grades Section
      • Translation (translation table): Mapped to Translation which is located in the Grades Section
      • Values Allowed: Mapped to Values Allowed which is located in the Grades Section
      • Calculation: Mapped to Calculation which is located in the Grades Section
      • GPA Type: Mapped to GPA which is located in the GPA Weights Section
      • GPA Weights: Mapped to Weights located in the GPA Section.
    • Note: Extensions will be used in this import. Each marking column and the fields that go with that marking column are grouped together. For example , the 00 extension would only be grading information for Q1. The 01 extensions has grading information that applies to Q2. In other words, the extensions represents the grading information for one specific marking column.

    1. Save the import parameters.
    2. Click Validate now (if we marked Validate data only on the general tab) or Import Now
