NOTE: Before you proceed with the following instructions, back up the database. If your organization integrates multiple Blackbaud products, refer to the Additional Requirements section of the backup article.

To change/update all assigned solicitors on constituent records:

(NOTE: Global change on assigned solicitors records affects all assigned solicitor relationships on a constituent record. If constituents have multiple assigned solicitors and specific/certain ones need to be updated leaving others unchanged, follow the steps under To change/update specific solicitors below).

  1. Select Admin, Globally Change Records.
  2. Select Constituent, New Change.
  3. Optionally, click Include to add a Constituent query to makes changes to a specific group of constituents. (Note: This query will not limit changes to specific assigned solicitors. See note above step 1 of this section.)
  4. In Available Fields, go to Assigned Solicitor Relationships
  5. Highlight Date to (or Date From or Solicitor Type).
  6. Click Select or double-click on the field name.
  7. The Operation is Add. Enter the date or select the value in the Add field. 
  8. Click Change Now.

To change/update specific solicitors:

  1. Create a Constituent query of the constituents whose assigned solicitors need to be changed
  2. Create a Constituent Solicitor import file in comma separated values (CSV) format based on the query created in step 1
  3. On the Fields tab, select:

    Solicitor, Constituent Import ID (This is the Import ID of the Constituent that has the assigned solicitor as a relationship)
    Solicitor, Solicitor Relationship Import ID (This is the Import ID for the relationship record you are wanting to update)

    Solicitor, Solicitor Link (This is the Import ID of the solicitor's constituent record)

    Solicitor, Date From**
    Solicitor, Date To**
    Solicitor, Solicitor Type**

    (**Select any or all of these as needed to update.)

  4. In the CSV file, delete the rows containing information for assigned solicitor relationships that do not need to be updated
  5. Enter the new values for the Date From and/or Date To fields
  6. Save and close the CSV file
  7. Import the CSV file using a Constituent Solicitor Import
  8. On the General tab, select Update existing records
  9. Select all other appropriate options and complete the import process

OR

  1. Create a Constituent query of the constituents whose assigned solicitors need to be changed
  2. Create a Constituent export in comma separated values (CSV) format based on the query created in step 1
  3. On the Output tab, select:
    Biographical, Import ID
    Relationships, Assigned Solicitors, Import ID
    Relationships, Assigned Solicitors, Name
    Relationships, Assigned Solicitors, Solicitor Constituent Record, Import ID
    Relationships, Assigned Solicitors, Date From**
    Relationships, Assigned Solicitors, Date To**
    Relationships, Assigned Solicitors, Solicitor Type**
    (**Select any or all of these as needed to update.)
  4. Open the CSV file
  5. If more than one assigned solicitor per constituent exported, edit the CSV file so that each assigned solicitor's fields appear on separate rows
  6. Enter the new values for the Date From and/or Date To fields
  7. Delete the Assigned Solicitor Name column
  8. Save and close the CSV file
  9. Import the CSV file using a Constituent Solicitor Import
  10. On the General tab, select Update existing records
  11. Select all other appropriate options and complete the import process

OR

  1. Create a Relationship query
  2. Globally delete the assigned solicitor to be replaced
  3. Globally add the solicitor with the correct information
